Privacy Policy

Effective September 8, 2026. This policy explains what information Palo Duro Air Repair collects when you use amarilloairrepair.com or call the number on it, how that information is used and shared, and the choices you have.

[ATTORNEY REVIEW REQUIRED] This policy is a working draft prepared for launch and is scheduled for review by a Texas-licensed attorney within 30 days of the site going live. It will be updated if that review requires changes.

1. Who we are

Palo Duro Air Repair ("we," "us") operates amarilloairrepair.com, an independent referral service that connects homeowners in Amarillo, Canyon & Bushland, TX (Potter & Randall County) with independent, third-party HVAC contractors. We do not perform HVAC work. When you submit a request or call our number, we pass your request to a contractor so they can contact you and quote the job.

2. Information we collect

Information you give us

  • Quote form: your name, phone number, ZIP code, the type of service you need, and any details you type in the free-text field.
  • SMS consent: if you check the consent box, we record that you did, the exact consent text shown to you, and a timestamp.
  • Phone calls: if you call the number on this site, we receive your phone number, the date and time of the call, its duration, and — see Section 6 — the call may be recorded or transcribed.

Information collected automatically

  • Usage data: pages viewed, referring site, approximate location derived from IP address, device and browser type, and interactions such as clicking a phone link or submitting the form. See Section 7 (Cookies and analytics).
  • Form metadata: the page you submitted from and the time of submission, which we store with your request so the contractor knows what you were reading.

We do not knowingly collect payment card numbers, Social Security numbers, or government ID numbers, and our forms do not ask for them.

3. How we use your information

  • To match your request with an independent HVAC contractor and send it to them so they can contact you.
  • To contact you about your request by phone, text message, or email — including to confirm details or let you know a provider is following up.
  • To keep records of consent, for our compliance with telephone and text-messaging laws.
  • To measure and improve the site (which pages are useful, where the form is abandoned, whether phone links are clicked).
  • To detect and prevent spam, fraud, and abuse of the form.
  • To comply with legal obligations and enforce our Terms of Service.

4. Text messaging (SMS) program and opt-in data

If you check the consent box on our quote form, you agree that Palo Duro Air Repair and the independent HVAC provider(s) matched to your request may contact you by call or text message about your request, including with automated technology. This is a customer-care program related to a request you initiated; it is not a marketing list.

  • Message frequency may vary and depends on your request.
  • Message and data rates may apply according to your carrier plan.
  • Opt out at any time by replying STOP to any message. You'll receive one confirmation message and no further texts from that number.
  • Help: reply HELP to any message, or use the contact page.
  • Consent is not a condition of any purchase or of receiving a quote. You can use this service without checking the box; we'll simply reach you by phone.

No sharing of SMS opt-in data. Your text-messaging opt-in consent and the phone number associated with it are not sold, rented, or shared with any third party or affiliate for their own marketing purposes. Your phone number is shared only with the specific independent HVAC contractor matched to your request, solely so that they can fulfill that request by contacting you about the service you asked for. That contractor does not receive your SMS opt-in as authorization to send you their own marketing messages; any further marketing from them requires their own separate consent from you.

5. How we share information

We share your information only in these cases:

  • With the matched contractor. Your name, phone number, ZIP code, service type, and the details you provided go to the independent HVAC contractor matched to your request. They are an independent business, not our employee or agent; their use of your information after that point is governed by their own practices. We tell you who they are when we match you.
  • With service providers who help us run the site and route requests — website hosting, form and lead-routing software, call tracking, and analytics. They are contractually limited to using your information to provide services to us.
  • For legal reasons — to comply with a subpoena, court order, or other legal process; to enforce our terms; or to protect the rights, safety, or property of us, our users, or others.
  • In a business transfer — if the site or the business operating it is sold or merged, your information may transfer as part of that transaction, subject to this policy.

We do not sell your personal information, and we do not share it with data brokers.

6. Call tracking and recording

The phone number on this site is a tracking number that routes to us or to the contractor matched to your request. Calls to it may be recorded or transcribed for quality, training, lead-routing, and dispute-resolution purposes. Where a notice is required, you will hear one at the start of the call. If you do not want a call recorded, tell the person who answers and they will continue without recording, or use the quote form instead. Call recordings are retained only as long as needed for the purposes above and are protected as described in Section 8.

7. Cookies and analytics

We use Google Analytics 4 to understand how visitors use the site. It sets first-party cookies and collects usage data such as pages viewed, approximate location from IP address, device type, and events like clicking a phone link or submitting the form. This data is aggregated and does not identify you by name. You can block or delete cookies in your browser settings, use Google's Analytics opt-out browser add-on, or enable your browser's "Do Not Track" setting; the site will still work. We do not use advertising cookies or cross-site tracking pixels.

8. Data security

We protect your information with measures appropriate to its sensitivity: the site is served over HTTPS, form submissions are transmitted encrypted to our lead-routing system, access to lead records is limited to people who need it to route your request, and our service providers are required to maintain their own security controls. No method of transmission or storage is completely secure, and we can't guarantee absolute security, but we take reasonable steps to protect your information and will notify you as required by law if a breach affects it.

9. How long we keep information

We keep lead records — including consent records — for as long as needed to fulfill your request, comply with legal record-keeping obligations for consent under telephone and text-messaging laws, and resolve disputes. Analytics data is retained according to our analytics provider's settings. You can ask us to delete your information at any time (see Section 10), subject to records we're required to keep.

10. Your rights and choices

  • Access and correction: ask us what information we hold about you and to correct it.
  • Deletion: ask us to delete your information. We'll do so except where we must retain it (for example, a consent record we're legally required to keep).
  • Opt out of texts: reply STOP to any message.
  • Opt out of calls: tell us on the call or via the contact page, and we'll add you to our internal do-not-call list.
  • Cookies: control them in your browser as described in Section 7.

To exercise any of these rights, use the contact page or call the number on this site and say it's a privacy request. We may need to verify your identity before acting. We will not discriminate against you for exercising your rights. Residents of states with specific privacy laws may have additional rights under those laws; we will honor verifiable requests consistent with applicable law.

11. Children

This site is intended for adults arranging home services. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us information, contact us and we will delete it.

12. Third-party sites

This site links to other websites, including contractors' sites and the Texas Department of Licensing and Regulation. Their privacy practices are their own; this policy doesn't cover them.

13. Changes to this policy

We'll post any changes on this page and update the effective date. Material changes to how we use information already collected will be communicated as required by law.
